Summary

Role Purpose

To provide flexible, professional administrative, hospitality and digital communications support across both Rainbow Education Multi-Academy Trust (REMAT) and the Teaching School Hub. This hybrid entry-level role offers comprehensive experience in venue/event administration, front-of-house reception, facilities management, and digital marketing.

Key Responsibilities

Event & Training Suite Administration

  • Booking Management: Act as the main administrator for the Jonathan Nichols Training Suite, handling calendar availability, booking requests, and confirmations.
  • Event Logistics: Coordinate and order catering, dietary requirements, and delegate resources for training days and external events.
  • Room Preparation: Ensure training rooms are set up correctly prior to sessions (furniture configuration, AV/tech check, presentation materials) and cleared afterwards.

 

Reception & Hospitality

  • Delegate & Visitor Hospitality: Act as the welcoming front-of-house face for the Teaching School Hub and MAT, directing delegates and handling visitor check-ins.
  • Shared Service Reception: Greet visitors arriving at the Shared Service Office, manage sign-in logs, and prepare/serve refreshments.
  • Enquiry Management: Answer incoming phone calls, respond to general email queries, and route messages to the appropriate team members promptly.

 

Digital Media & Marketing Support

  • Website Management: Update and maintain content on the Rainbow Connections website under the direction and supervision of the Media and Marketing Officer.
  • Social Media Execution: Schedule and publish engaging content, images, and announcements on the Rainbow Connections Instagram account.
  • Content Creation: Assist in gathering photo/video content during events or training sessions for promotional use.

 

General Administrative Support

  • Core Administration: Carry out administrative tasks for the Shared Services team and TSH (e.g., data entry, drafting correspondence, filing, photocopying, and scanning).
  • Stock & Supplies: Monitor and restock office, catering, and training supplies, submitting reorder requests when necessary.
  • Post & Distribution: Assist with incoming and outgoing post, email distribution lists, and file maintenance.

 

Compliance & Safeguarding

  • Safeguarding: Rainbow Education MAT is committed to safeguarding children and promoting the welfare of young people. The successful candidate will be subject to an Enhanced DBS check and pre employment checks.

Person Specification

Qualifications

GCSE Grade 4/C or above in English and Maths (or equivalent), or willingness to achieve Level 2 Functional Skills alongside the qualification. It would be desirable to have a basic qualification in ICT or Business Administration.

Experience

Experience using social media platforms (specifically Instagram). It would be desirable to have previous customer service or office environment exposure.

Skills & Knowledge

  • Confident written and verbal communication.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong organisational and multi-tasking abilities.
  • Desirable: Experience using website content management systems (CMS).
